Email Large Files: Break Them Down

Today, I’m answering an email question about how to get around emailing large files. If you’re using something like Gmail or any other webmail program, they usually have like a 10 or a 20 megabyte limit. What I’m going to do is I’m going to show you how to break up a large file and send it out via email or whatever you may like.

Basically, there are a lot of programs out there, 7‑Zip is one of them, but WinRAR is one that I’ve always used. I’ve used it forever. It’s very reliable. It’s a free program. You just go to download.com and type in winrar.com, not .com, WinRAR, and it should be your first selection. WinRAR 3.8, that’s the latest version at the time of this video, so you can download that and install it.

Then, once it’s installed, let’s say I wanted to email this Camtasia installer. It’s, I think, 28 megabytes, far too large for me to email, especially I’m using Gmail or something like that. In order to break it down and email it, once you’ve installed WinRAR, you just need to right click on it, add to archive, and it’s going to give you an option down here where it will allow you to split it into volumes.

Now this is 29 megs. Let’s say it will allow you to send up to 10 megabyte files, so you can break up into 10 megabyte files. But let’s just be safe, let’s say five megabytes, so five MB. Hit OK, and now WinRAR is going to compress it and break it up into five megabyte increments, so you’ll be able to email it in several attachments. The only drawback is the person on the other end is also going to need WinRAR to unpack it. So make sure you tell them in the email, “Hey, go download this program, and you’ll be able to open this archive that I just sent you.” WinZip does this. 7‑Zip does this.

WinRAR, most people probably won’t have it installed on their computer, but it’s a free install and it’s been around forever. You can even attach it to your email if you need to. The larger the file, the longer this will take, but a 30 megabyte file, breaking it up six times roughly. Then, once it’s done, they’ll use WinRAR to extract this. As soon as it finishes here, I’ll show you what happens. As you can see on my desktop, it broke it up into one, two, three, four, five, six. It’s finishing part six right now. It’s all done.

Now, you can email these six parts in over several emails. So you email part one and two, part three and four, part five and six in three separate emails to get around it. I know it’s kind of clumsy, but it is the best way around it. When the person gets it, they can just click on the part one. WinRAR will open up, and they can extract it. WinRAR automatically puts together the pieces, you don’t have to do anything. Here it is in this folder, Camtasia F1, and there’s the program.
